Privacy & Your Data

We're pretty serious about keeping your info safe while you're planning your legendary stay with us. Here's the full story on how we handle your data.

Last Updated: November 4, 2025

Look, we get it - nobody really loves reading privacy policies. But we've tried to make this one actually readable. We're committed to protecting your personal information and being upfront about what we collect and why. If you've got questions after reading this, just give us a shout.

When you book a room or reach out to us, we'll need some basic stuff to make your stay happen. This includes your name, email, phone number, and payment details. We also collect info about your stay preferences - like if you want that dragon-themed suite on the top floor or need special arrangements for a celebration.

Our website uses cookies (the digital kind, not the Medieval Banquet Hall kind) to remember your preferences and make your browsing smoother. We also track how folks use our site so we can improve things.

If you sign up for our newsletter or loyalty program, we'll keep that info too. And yeah, we collect feedback and reviews you share with us - helps us get better at what we do.

First off, we use your info to process reservations and make sure your stay goes smoothly. Can't exactly welcome you to the realm without knowing who you are, right?

We'll send you booking confirmations, updates about your reservation, and any important info about your upcoming visit. If you've opted in, we might also send you special offers or news about events at Mythraven Verse.

Your payment details go straight to our secure payment processors - we don't store full credit card numbers on our systems. We use your data to improve our services, understand what guests enjoy, and occasionally for legal compliance stuff (boring but necessary).

If you've had a dispute or issue, we'll keep records to resolve things properly and prevent future problems. Pretty standard hotel stuff, really.

We're not in the business of selling your personal info - that's just not our style. However, we do work with trusted partners who help us run the hotel.

Payment processors handle your transactions securely. Our booking system provider stores reservation details. Email service providers help us send you confirmations and newsletters (if you've signed up). Cloud storage services keep our data backed up and accessible.

Sometimes we need to share info with service providers like tour operators if you've booked guided historical tours through us. We might also share data if legally required - like responding to court orders or protecting our rights.

All our partners are bound by strict confidentiality agreements and can only use your data for the specific services they're providing. We vet them carefully to make sure they meet Canadian privacy standards.

Security's a big deal for us. We use industry-standard encryption for data transmission - that means your info is scrambled when it travels between your device and our servers.

Our systems are protected by firewalls and regularly updated security software. Access to personal data is restricted to employees who actually need it to do their jobs, and they're all trained on privacy best practices.

We conduct regular security audits and vulnerability assessments to stay ahead of potential threats. Our payment processing meets PCI DSS standards - basically the gold standard for handling card data safely.

That said, no system is 100% foolproof. We do everything we reasonably can to protect your data, but we can't guarantee absolute security. If there's ever a breach that affects your data, we'll let you know promptly and tell you what we're doing about it.

Cookies help our website remember you and work better. Essential cookies keep things running - like maintaining your session when you're booking a room. Without these, the site just wouldn't function properly.

Analytics cookies (like Google Analytics) help us understand how visitors use our site. We see which pages are popular, where folks get stuck, and how we can improve. This data is anonymized - we're not tracking individual users.

Marketing cookies remember your preferences and show you relevant content. If you've looked at our spa services, you might see related offers later. These are totally optional and you can opt out anytime.

Most browsers let you control cookies through settings. You can block or delete them, though some parts of our site might not work as smoothly if you do. Check your browser's help section for specifics on managing cookies.

Under Canadian privacy law (PIPEDA), you've got several rights when it comes to your personal information. You can ask to see what data we have about you - just send us a request and we'll provide a copy.

If something's wrong or outdated, you can ask us to correct it. Want to delete your account and associated data? You can request that too, though we might need to keep some info for legal or accounting purposes.

You can opt out of marketing emails anytime by clicking the unsubscribe link in any message we send. You'll still get important booking-related emails though - can't really confirm your reservation without emailing you!

If you're concerned about how we've handled your data, you can file a complaint with the Office of the Privacy Commissioner of Canada. But honestly, we'd prefer if you reached out to us first so we can try to sort things out directly.

To exercise any of these rights, just email us at reservations@mythravenverse.info or call (604) 555-7283. We'll respond within 30 days.

We don't hold onto your data forever - that'd be creepy and unnecessary. How long we keep stuff depends on what it's for.

Booking and transaction records stick around for 7 years - that's what Canadian tax law requires. Guest preference data is kept as long as you're actively staying with us or have an account. If you haven't visited in 3 years and haven't interacted with us, we'll typically delete your info.

Marketing consent and newsletter subscriptions are kept until you unsubscribe. Security footage from our property is automatically deleted after 30 days unless there's an incident that needs investigation.

When we delete data, we make sure it's properly disposed of - not just sitting in some backup somewhere. We use secure deletion methods that make the data unrecoverable.

Our website and services aren't designed for kids under 13, and we don't knowingly collect personal information from children. If you're booking a family stay, the reservation should be made by an adult.

When families check in with minors, we only collect what's necessary for the accommodation - typically just the number of guests and ages for room assignment purposes.

If we discover we've accidentally collected data from a child under 13, we'll delete it right away. Parents or guardians who think we might have their child's info can contact us and we'll take care of it immediately.

We're based in Vancouver, Canada, and we operate under Canadian privacy laws. If you're visiting us from another country, your data will be processed and stored in Canada, which has pretty solid privacy protections.

Some of our service providers might be located outside Canada, including in the United States. When we transfer data internationally, we make sure there are appropriate safeguards in place, like standard contractual clauses or Privacy Shield frameworks.

Different countries have different privacy laws. By using our services, you're agreeing to have your data processed in Canada and potentially transferred to other countries as described. If you're from the EU or other regions with strict data protection laws, we take extra steps to ensure compliance with those regulations too.

We might update this privacy policy from time to time as our practices evolve or laws change. When we make significant changes, we'll post a notice on our website and update the "Last Updated" date at the top of this page.

For major changes that affect how we use your personal information, we'll try to notify you directly via email if we have your contact details. It's worth checking back here occasionally to stay informed.

Continuing to use our services after we post changes means you're cool with the updated policy. If you're not okay with the changes, you can always contact us or stop using our services.

If you've got questions, concerns, or just want to chat about how we handle your data, we're here for you. Privacy shouldn't be mysterious.
